PalmGate Refund and Cancellation Policy

PalmGate Global Ventures Limited is committed to providing quality products and professional services to our customers, clients, businesses, institutions and other partners.

Because our services include printing, publishing, digital solutions, branding and advertising, web design and hosting, media and communication, agriculture-related services, training, consulting and other customised business solutions, cancellation and refund conditions may vary depending on the nature and stage of the service or order.

This Refund & Cancellation Policy explains the circumstances under which customers may cancel orders or request refunds.

1. General Policy

All orders and service engagements are subject to the terms agreed between PalmGate Global Ventures Limited (“PalmGate,” “we,” “our” or “us”) and the customer (“customer,” “client,” “you” or “your”).

Before commencing a project, PalmGate may require:

  • Full payment;
  • A deposit or advance payment;
  • Confirmation of an approved quotation;
  • Written approval of specifications or designs; or
  • Another agreed payment arrangement.

Customers are encouraged to carefully review quotations, specifications, quantities, designs, timelines and other project details before making payment or authorising work to commence.

Payment of an invoice, quotation or agreed amount may constitute acceptance of the applicable order or service terms.

2. Cancellation of Orders

Customers may request cancellation of an order by contacting PalmGate as soon as possible.

Cancellation requests should be made in writing, preferably by email or through another official communication channel provided by PalmGate.

A cancellation request should include:

  • Customer’s name;
  • Order or invoice number, where applicable;
  • Description of the product or service;
  • Date of payment;
  • Amount paid; and
  • Reason for cancellation.

Cancellation does not automatically guarantee a refund.

The amount refundable, if any, will depend on the nature of the order, the stage of production or service delivery, costs already incurred and the terms agreed at the time of engagement.

3. Printing Orders

Printing projects often involve customised designs, materials, production time and other costs.

Before production begins

If a customer requests cancellation before production has commenced, PalmGate may consider a refund of the amount paid, subject to any costs already incurred.

Where applicable, reasonable administrative, design, preparation, procurement or transaction costs may be deducted from the refundable amount.

After production has commenced

Once printing or physical production has commenced, cancellation may result in limited or no refund, particularly where materials have already been purchased or production costs have been incurred.

After production is completed

Orders that have been completed and made according to the customer’s approved specifications are generally not eligible for cancellation or refund, except where the product is defective or PalmGate has failed to deliver substantially according to the agreed specifications.

4. Customised Products

Customised products are produced specifically according to the customer’s requirements.

These may include:

  • Branded souvenirs;
  • Jotters;
  • Towels;
  • Business cards;
  • Brochures;
  • Flyers;
  • Banners;
  • Posters;
  • Packaging;
  • Corporate stationery;
  • Books;
  • Special publications; and
  • Other customised printed materials.

Because customised products may not be readily resold to another customer, cancellation after production or procurement has begun may result in limited or no refund.

Customers are therefore encouraged to confirm all specifications before production begins.

5. Artwork, Design and Approval

Where PalmGate provides graphic design, layout, artwork or other creative services, customers may be required to approve the final design before production.

Once a customer has approved a design for production, subsequent changes may attract additional charges.

If production has already commenced based on an approved design, the customer may be responsible for costs associated with reprinting or reproducing the materials.

Customers are responsible for carefully checking:

  • Names;
  • Addresses;
  • Telephone numbers;
  • Email addresses;
  • Dates;
  • Prices;
  • Logos;
  • Photographs;
  • Spelling;
  • Colours;
  • Quantities; and
  • Other information supplied or approved by them.

PalmGate will make reasonable efforts to identify obvious errors, but customers remain responsible for information they provide and approve.

6. Deposits and Advance Payments

Some PalmGate projects require an advance payment or deposit before work begins.

Advance payments may be used to cover:

  • Materials;
  • Production costs;
  • Third-party services;
  • Software or digital resources;
  • Logistics;
  • Design work;
  • Project preparation;
  • Procurement; or
  • Other expenses associated with the project.

Where PalmGate has already committed or spent funds in connection with a project, such costs may be deducted from any amount otherwise refundable.

A deposit is not automatically refundable simply because a customer later decides not to proceed.

7. Digital Services

Digital services may include:

  • Digital marketing;
  • Search engine optimisation;
  • Content development;
  • Social media services;
  • Graphic design;
  • Digital branding;
  • Website services;
  • Consultancy;
  • Digital communications; and
  • Other technology-related services.

Where digital work has already commenced, PalmGate may be unable to provide a full refund because time, expertise and resources may already have been committed to the project.

Refund requests will therefore be considered based on:

  • The agreed scope of work;
  • Work already completed;
  • Resources already committed;
  • Third-party costs;
  • The reason for cancellation; and
  • The terms agreed with the client.

8. Web Design and Website Development

For website design and development projects, payments may cover different stages of work.

These may include:

  1. Planning and consultation;
  2. Domain registration;
  3. Hosting;
  4. Website design;
  5. Development;
  6. Content preparation;
  7. Testing;
  8. Deployment; and
  9. Maintenance or support.

Where work has already commenced, cancellation may result in deductions for services performed and expenses incurred.

Domain and hosting charges

Domain registration and hosting services may involve payments to third-party providers.

Where such services have already been purchased or activated on behalf of a customer, the applicable third-party charges may be non-refundable, subject to the terms of the relevant provider.

9. Web Hosting

Where PalmGate facilitates or provides web hosting services, hosting fees are generally associated with a specific hosting period.

Customers should request cancellation before the next billing or renewal period whenever possible.

Once a hosting service has been renewed or a third-party hosting charge has been incurred, refunds may be subject to the applicable provider’s terms.

PalmGate is not responsible for refunding third-party charges that are expressly non-refundable by the relevant service provider.

10. Publishing and Book Production

Publishing projects may involve several stages, including:

  • Manuscript preparation;
  • Editing;
  • Proofreading;
  • Typesetting;
  • Graphic design;
  • Cover design;
  • ISBN-related processes where applicable;
  • Printing;
  • Binding; and
  • Distribution.

Once substantial work has commenced, cancellation may result in deductions for services already performed and costs already incurred.

Where a book or publication has already entered production, a full refund will generally not be available.

11. Training and Consulting Services

For training, workshops, consultancy and advisory services, cancellation terms may depend on how much preparation has already been undertaken.

Where a participant or client cancels sufficiently early, PalmGate may consider transferring the payment to another available training date or service, subject to availability.

However, where PalmGate has already incurred significant costs for:

  • Venue arrangements;
  • Facilitators;
  • Training materials;
  • Travel;
  • Accommodation;
  • Logistics;
  • Catering; or
  • Other event-related expenses,

such costs may be deducted from any applicable refund.

For corporate or institutional engagements, the specific terms contained in the relevant agreement or quotation will take precedence.

12. Events and Scheduled Services

For events, training programmes, conferences and other scheduled activities, customers should provide cancellation notice as early as possible.

Refund eligibility may depend on the amount of advance preparation and expenditure already incurred.

Where an event is postponed by PalmGate, customers may, where appropriate, be offered:

  • Transfer to the rescheduled event;
  • Credit toward another service; or
  • Another reasonable remedy agreed between the parties.

13. Agriculture & Agribusiness Services

Agriculture and agribusiness activities may involve products, farm inputs, consultancy, training, production, logistics or other services.

Refund and cancellation conditions will depend on the particular transaction.

Where PalmGate has already purchased agricultural inputs, arranged logistics, commenced production or incurred other project-specific expenses, those costs may be deducted from any applicable refund.

Specific agricultural projects may also have their own terms and conditions.

14. Defective or Incorrect Products

PalmGate aims to deliver products according to the specifications approved by the customer.

If a customer receives a product that is materially defective, damaged as a result of PalmGate’s handling, or substantially different from the agreed specifications, the customer should notify PalmGate promptly.

Where appropriate, PalmGate may offer:

  • Replacement;
  • Correction;
  • Reproduction;
  • Repair;
  • Partial refund; or
  • Full refund,

depending on the circumstances.

Customers may be required to provide photographs, videos or other evidence of the problem to assist with assessment.

15. Errors in Customer-Supplied Information

PalmGate will not ordinarily be responsible for errors resulting from incorrect information supplied or approved by the customer.

This includes errors involving:

  • Names;
  • Contact information;
  • Addresses;
  • Dates;
  • Prices;
  • Logos;
  • Images;
  • Spelling;
  • Product specifications; or
  • Other customer-provided content.

Where PalmGate reproduces an error that was clearly introduced by PalmGate despite the customer providing correct information, the matter will be reviewed and an appropriate remedy may be offered.

16. Situations Where Refunds May Not Be Available

A refund may not be available where:

  • The customer changes their mind after substantial work has been completed;
  • A customised product has already entered production;
  • A digital service has already been substantially delivered;
  • A website project has substantially progressed;
  • Domain or hosting fees have already been incurred;
  • Third-party services have already been purchased;
  • A customer fails to provide required information or materials within an agreed timeframe;
  • A customer approves a design and subsequently identifies an error that was present in the approved version;
  • A customer fails to attend a scheduled training or event without adequate notice;
  • A service has been fully delivered according to the agreed specifications; or
  • The payment relates to a third-party service whose terms do not permit a refund.

This list is not exhaustive. Individual contracts, quotations or service agreements may contain additional conditions.

17. Refund Processing

Where a refund is approved, PalmGate will communicate the applicable refund amount and method of payment.

Refunds may be processed using the original payment method where reasonably possible.

Depending on the payment provider, banking system or other circumstances outside PalmGate’s direct control, processing times may vary.

Where deductions apply, PalmGate will endeavour to explain the basis for the deduction.

18. How to Request a Refund

Customers wishing to request a refund should contact:

Your request should contain:

  • Full name;

  • Order/invoice number;

  • Date of payment;

  • Reason for the refund request; and
  • Relevant supporting documents.

PalmGate will review the request and communicate the outcome.

19. Disputes and Resolution

We encourage customers to contact PalmGate directly whenever there is a concern regarding an order or service.

We will make reasonable efforts to resolve genuine complaints fairly and professionally.

Where a dispute cannot be resolved through direct communication, the parties may explore appropriate dispute-resolution mechanisms in accordance with applicable Nigerian law and any contractual terms governing the particular transaction.

20. Changes to This Policy

PalmGate Global Ventures Limited may review and update this Refund & Cancellation Policy from time to time to reflect changes in our services, business operations, payment systems, applicable requirements or customer needs.

The updated version will be published on this page with the relevant effective date.

Customers are encouraged to review this policy before making significant purchases or entering into service engagements.
